Small Business Transactional Email User Guide

Product: Small Business Transactional Email / Small Business Management โ€“ Transactional Email
Version covered: 1.0.3

This guide explains everyday use of the Transactional Email dashboard, provider settings, templates, test sending, delivery logs and retry queue.

Dashboard

The dashboard is the operational health view for system email. Use it to confirm whether the site is ready to send, which provider is selected and whether recent messages are failing.

Provider settings

Choose WordPress mail only for simple local testing. Use SMTP, Elastic Email or Brevo for production delivery where possible. After changing provider settings, send a test email immediately.

Templates

Templates control the wording and layout of system messages. Preview and test a template after changes. Do not remove important customer information such as invoice numbers, ticket references or contact details.

Email log

Use the log to answer โ€œwas the email attempted?โ€ and โ€œwhat happened?โ€ Filter by source plugin, email type, recipient or status when investigating customer issues.

Retry queue

  • Retry only after checking the failure reason.
  • Do not repeatedly retry invalid email addresses.
  • Fix provider credentials before retrying API failures.
  • Escalate persistent failures to the site owner or hosting/email provider.

Good practice

  • Keep transactional and bulk email separate.
  • Monitor failures after plugin updates.
  • Use a verified sending domain.
  • Limit settings access to trusted admins.
  • Document which provider and sender address are used for business-critical email.
