Small Business Management – CRM Pro Implementation Guide

Product: Small Business CRM Pro / Small Business Management – CRM Pro
Version covered: 1.2.6

This administrator guide covers CRM Pro licensing, dependency checks, workflow automation, AI email blocks, unsubscribe-aware communication, grouped menu access and Pro configuration.

Purpose and dependency model

CRM Pro is a paid add-on for CRM Free/Core. It must not replace the core CRM plugin. Install CRM Free/Core first, then Pro, then activate the Pro licence.

Installation and licence activation

  1. Back up the site.
  2. Install/activate CRM Free/Core.
  3. Install/activate CRM Pro.
  4. Open the CRM Pro licence page and activate the key.
  5. Confirm Pro screens are visible only to authorised roles.
  6. Use a test salesperson to confirm Pro admin screens are not visible to ordinary salespeople.

Automation permissions

Salespeople should not create or change automation. Automation should be limited to Sales Managers, CRM Admins or dedicated automation managers.

RoleAutomation responsibility
SalespersonUses workflows indirectly through assigned records; does not configure rules.
Sales ManagerMay manage sales workflow rules and team-level automation.
CRM AdminFull CRM Pro configuration, settings and troubleshooting.
Enterprise AdminMay manage Pro configuration across workspaces where Enterprise is active.

Workflow and email block setup

  • Map the business event first: form submitted, contact tagged, deal moved, email clicked or task overdue.
  • Define the action: create task, notify owner, send approved template, adjust score or add a tag.
  • Test with a non-production contact.
  • Avoid duplicate workflows that perform the same action.
  • Review unsubscribe/contactability behaviour before sending any communication.

Sales configuration

Configure pipelines, stages, salespeople, assignment rules, segments, scoring and reports before handing Pro to the team. Keep naming simple so sales users understand the next action.

Testing and rollback

Disable only the Pro plugin when testing rollback. CRM Free/Core records should remain available, while Pro-only workflow screens and features become unavailable. Keep a copy of the working Pro ZIP used on the site.

  • Take a full file and database backup before installing on a production site.
  • Install on a staging site first when replacing an older build or changing roles.
  • Confirm the required parent plugin is active before activating a Pro or Enterprise add-on.
  • Use a non-admin test user to confirm menu access and permissions.
  • Create one test record, run through the full workflow, and only then import or enable real customer data.
